Executive Assistant

They are looking for an experienced Executive Assistant to join our friendly team and primarily support our EVP Head of R&D and our Chief Scientific Officer. You will have excellent communication and software skills, exercise discretion and provide a proactive service for the Executives and wider Executive Team. You will demonstrate impeccable attention to detail.

Key Responsibilities:

Executive Assistant to EVP Head of R&D and Chief Scientific Officer:
Proactively manage their diaries, including complex meeting scheduling and arrangements, including teleconferences
Acting as a first point of contact: dealing with correspondence and phone calls
Understanding the importance of meeting requests, and acting as a gate-keeper
Build good, effective working relationships with the Execs so you can second-guess their moves and responses
Effective inbox management: responding and actioning items where possible
Reminding the Execs of important tasks and deadlines
Co-ordinate all international and local travel requirements (including transfers and accommodation), providing full itineraries as needed
Assist with drafting reports, documents and PowerPoint presentations (adhering to company branding guidelines)
Pulling together papers / packs for meetings
Collating and filing expenses

Provide support to Executive Team:
Organise and maintain a schedule of regular Company and Science Meetings, in liaison with the Chief Operating Officer
Act as a professional interface for Kymab with external parties as required, such as key opinion leaders and potential or existing partners, and foster and manage positive relationships within the community
Coordinate conference attendance and speaker slots in conjunction with Research & Development heads
Maintain the conference spreadsheet
Work closely with the Executive Assistant to coordinate the Executives calendars and whereabouts
Take on ad-hoc projects as required to support the Executive Assistant and Executive Management team

General Administrative support:
Provide back-up support to the Admin team in general duties such as post, telephone answering, juggling meeting room availability, raising purchase orders, etc
Provide back-up support for the Executive Assistant as needed for holidays, absences, or periods of high workload

Job Requirements:

Education & Experience
Good level of general education. Must have English and Maths at GCSE level or equivalent
Experience of working in a similar role in a busy environment, ideally in a biotech company
Effective written and verbal communication skills.
Excellent people skills, self-confident and able to communicate effectively and present a positive image of the Company
Ability to organise and prioritise work
Ability to work in a flexible, collaborative style with colleagues and teams within the company and externally
Proactive, able to use initiative and work independently
Strong attention to detail
Enthusiastic and reliable
Ability to handle people with tact and sensitivity
High level of integrity and ability to maintain confidentiality

Skills & Knowledge
Excellent level of IT skills, including use of Microsoft Outlook and Excel
Discretion and trustworthiness: you will often be party to confidential information

Excellent oral and written communication skills
Excellent organisational skills and the ability to multitask
The ability to be proactive and take the initiative
Tact and diplomacy
Communication skills
Good knowledge of standard software packages and the ability to learn company-specific software if required
